Centre Name: Customer Service Centre
Functions:1. Efficiently handling all enquiries, requests, and service needs for all of MEDIU customers and fulfilling their needs in coordination with the University departments.

  1. Supervising the CRM System and managing its affairs with the related departments.
  2. Continuous training, precise monitoring, providing and developing tools, monitoring performance, and raising the level of quality service for the Customer Service Centre.

 

Unit Name: Customer Management Unit
Functions:

  1. Respond to the first level of the customer inquiries from walk-in, phone call or email by tracking all the activities using CRM.
  2. Respond to the 2nd level of inquiries that are related to the departments activities from student affairs by tracking all the activities using CRM.
  3. Transfer the 3rd level of inquiries from services that need approval from each department to get the department decision (student affairs, academic and technical issues) by tracking all the activities using CRM.
  4. Transfer the inquiries to any other related department or unit to get the answer needed by tracking all the activities using CRM.

 

Unit Name: Training & Development and Quality Assurance Unit
Functions:

  1. Manage and prepare the Customer Relationship Management (CRM) System and manage its affairs with the related departments.
  2. Identify training and development needs for all Customer Service Center staff and train all remaining related departments on the CRM System.
  3. Prepare, provide and develop the necessary tools and products for the Customer Service Centre services.
  4. Closely monitor the quality service performance of each and every point of interaction with internal and external customers and quality assurance by way of continuous training that achieves customer service improvement.
  5. Monitoring the performance of the Customer Service Advisors (CSAs) and sound planning of their activities to ensure accurate and timely completion of all customer related enquiries.
  6. Design, issue, and develop all types of reports along with their analysis and determining the appropriate results and recommendations.
  7. Documenting, submitting, receiving and preserving all tasks related to the Customer Service Centre.

 

Department Name: Marketing Department
Functions:

  1. Preparation and implementation of marketing plans for the courses offered by the university.
  2. Creation, administration, preparation, and providing of marketing media in coordination with related depts.
  3. Study the markets, identify and administrate opportunities, select the right media and the appropriate marketing tools.
  4. Organizing and attending events and exhibitions.
  5. Handles the functions of students recruitment activities, expand its range, and organizing the administration of its information.
  6. Effective communication with relevant depts. in headquarter and offshore centres.
  7. Handles the activities of documentation, delivery, receipt, maintain, and evaluation of all functions that are related to marketing units.
  8. Reporting and providing the requirements for the units functions.

 

Unit Name: Marketing Media Unit
Functions:

  1. Collect the information required for marketing of the university courses and to establish a comprehensive database.
  2. Create innovative marketing ways for the required media.
  3. The preparation of marketing media requirements prior to production phase.
  4. Provide the marketing media prior to release phase.
  5. The administration of preparing the marketing media for all courses.
  6. Coordinate with related depts. for providing, production, and printing marketing media.

 

Unit Name: Advertising & Promotions Unit
Functions:

  1. Study of the society needs and business demands for the targeted markets.
  2. To manage and identify advertising opportunities.
  3. Identifying and managing of the effective use of marketing materials.
  4. Preparation and organizing the marketing plans for semesters of study.
  5. Organizing and attending events and exhibitions.

 

Unit Name: Student Recruitment Unit
Functions:

  1. Set up the student recruitment functions and identifying the related roles for the periodical follow up and to provide the necessary support for the tasks and functions assigned to the unit.
  2. Using various marketing media, especially the internet to reach fresh students.
  3. Encourage students who had inquired to motivate them for registration through customer service centre.
  4. To follow up applicants from (application submission) to the registration stage through customer service centre.
  5. Using various marketing media to convince hesitant applicants to complete the registration in the university through customer service centre.
  6. Handling the applicants’ data and make the periodical filtration to identify withdrawn students and the students to be targeted once again.
  7. Create databases to follow up the students’ registration.
  8. Organize and implement the programs of reduced tuition fees in accord with the approved instructions.

 

Department Name: Admissions and Registration Dept
Functions:

  1. To follow up the functioning of the admission
  2. To follow up the functioning of the registration
  3. The preparation of admission committee works
  4. Coordination and cooperation with relevant departments in the university and educational centers with regard to the functions of admission and records.
  5. The implementation of decisions from the relevant authorities at the university.
  6. To Document and carry out the handover and conservation of all functions of Admission and Registration Section

 

Unit Name: Admissions Unit
Functions:

  1. To receive the completed applications forms with documents from the center of customer service.
  2. The initial examination of applications and accompanying documents to ensure completeness and to update the status of application management system on campus (CMS) to the situation of (documents were handed over) and to request the completion of the unfinished status from the customer service centre and the deficiencies should also be stated.
  3. To follow up with the deficiencies with the centre of customer service within the requested academic intake and to close it by the last date of receiving applications.
  4. To complete the admission applications based on the type of registration and the registration season and the specialized field of study.
  5. The referral of academic applications to the level before postgraduate to the admission committee.
  6. The referral of postgraduate applications to center of post graduate studies.
  7. To examine the applications of joining short courses and the issuing of letters of acceptances based on the requested semester of study
  8. To prepare the admission committee to check the documents to equalize the certificates.
  9. The issuance of the letters of (Acceptance, conditional acceptance and rejection) and to send them directly or indirectly to the students upon the decision of admission unit or center of post graduate studies.
  10. To renew the case of request to join the campus management system (CMS) based on the student response to the application letter.
  11. To issue a list of students that the unit decided to place them under surveillance and to forward them to the relevant authorities.
  12. To issue a list of accepted names and to hand them to the unit of registration.
  13. To contribute to the preparation of the guidance and counseling program, in relation to the admission and record department.
  14. To Check and make sure of the names of graduating students.

Unit Name: Registration Unit
Functions:

  1. To receive the list of accepted students from the admission unit

2. Follow the situation of the student campus management system (CMS)

3. To provide the technical unit with the complete list of accepted students for issuance of names and numbers for ALIM program.

  1. To provide the academic unit with a list of accepted students to complete the procedure of placing the students into groups.
  2. To provide the students affairs with a list of accepted students
  3. To provide the learning centers with the list of accepted for record and follow up.
  4. To provide the financial department with a list of accepted students to follow up the fee payment procedure

8. Coordination and cooperation with customer relationship management system for nutrition information requested and answer the queries of emergency

  1. To transfer the students folders after the admission and registration period is done; to the department of (examination and registration).
  2. To open and close the registration session in accordance with academic calendar
  3. To prepare the management and statistical reports.
  4. To manage the request process (regular, delayed, withdrawer, dismissed) in collaboration with the relevant departments.
  5. To issue statements related with requests and to provide the students with it upon request.
  6. To issue the student Matrix numbers and Matrix card.

 

Department Name: Examination and Records Department
Functions:

  1. Manage all types of examinations; make the necessary arrangements specific to each examination, its invigilation, and the reception and submission of the examination papers and answers.
  2. Record the examination grades; receive and submit the examination results; facilitate the procedure to endorse, distribute and preserve the results.
  3. Oversee the registration processes at all levels and various situations; complete all steps related to the students’ academic progress and academic record.
  4. Carryout all tasks related to students records including the issuance of lists, exam result slips/transcripts, and certificates, the authentication and preservation of the aforementioned, the issuance of replacement copies for lost and damaged documents, and other related tasks.
  5. Carryout the documentation, submission, reception, and preservation processes for all tasks related to the Examination and Records Department.

 

Unit Name: Examination Unit
Functions:

  1. Manage examination processes.
  2. Coordinate and prepare examination schedules.
  3. Set the tasks of the examination invigilators.
  4. Coordinate and monitor the preparations for the examinations.
  5. Observe and monitor the examination procedures and prepare the examination budget.
  6. Issue the examination slips.
  7. Receive the questions from the
  8. Distribute the questions to the examination centres.
  9. Monitor attendance and absenteeism.
  10. Submit the answer sheets to the faculties to be graded.
  11. Receive the answer sheets after grading and preserve them.
  12. Receive the examination results from the Board of Examination.

Unit Name: Records Unit
Functions:1. To receive the subjects study tables from the academic division and to disseminate it.

2. To supervise the operations of registration and additions and deletions of subjects

  1. To carry out the delay and drop, withdrawal and separation of the study and re-entry based on a decision to the relevant authorities
  2. To change the student academic situation on the basis of testimony from the relevant departments

2. Ensure that the needs and welfare of the students are met and act as an advocate for them, and represent them in the University committees and throughout the University.

  1. To provide professional counseling, advising, and psychological services for special needs, disabled, academically weak, potential drop-out, and other at-risk students along with prevention services
  2. To offer a wide range of counseling and psychological services for all students and to provide them with student support information and resources
  3. Coordination and cooperation with relevant departments and global learning centers regarding the function of student service department
    1. To develop and coordinate a network of community student services volunteers and consultants in partnership with other departments
    2. To develop and manage the online student portal student services in collaboration with the relevant departments.
    3. To carry out the documentation, receiving, handing over, and saving procedures of all tasks related to the student services department.

Unit Name: Orientation and Counseling Unit
Functions:

  1. To guide the new students to know about life in the university environment.
  2. To activate the role of academic counseling in collaboration with the Department of Admission and Registration, and various other faculties and departments.
  3. To provide counseling and specialized psychological and social assistance for those students who encounter problems through counseling meetings and group instruction.
  4. To provide preventive counseling services by identifying the difficulties faced by the students, countering them and ensuring they do not reoccur.
  5. To promote academic achievement by helping the students attain the best academic progress by discovering the problems that they might face and solving them.
  6. To take care of students with low academic achievement and to give them special attention and follow-up care until they improve their academic standard.
  7. To support the outstanding and the gifted students and to provide what would enhance their capabilities and creativity in collaboration with the Office of Students Activities.
  8. To study the behavioral phenomena and troubling problems that might appear in some students’ lives and to work on finding the appropriate solutions.
  9. To conduct programs, studies and research, in the field of student guidance and counseling in collaboration with the Institute of Research and relevant departments.
  10. To provide assistance, guidance and counseling to students with problems that require the assistance of the student disciplinary committee.
